PulseMediaNL is seeking a highly organized and professional Executive Assistant to join our remote team. This role is essential in providing high-level administrative support to leadership, managing schedules and communications, and ensuring smooth day-to-day executive operations in a fast-paced remote environment.
Responsibilities
Executive &
Administrative Support
Manage executive calendars, appointments, meetings, and travel arrangements
Handle email correspondence, scheduling, and communication on behalf of leadership
Prepare reports, presentations, meeting agendas, and business documents
Support daily administrative and operational activities for executives and management teams
Communication &
Coordination
Serve as a key point of contact between executives, employees, and external stakeholders
Coordinate meetings, follow-ups, and executive priorities across departments
Maintain clear, professional, and confidential communication at all times
Assist with organizing company events, meetings, and virtual conferences
Project &
Task Management
Track deadlines, action items, and executive deliverables to ensure timely completion
Assist with project coordination, research, and operational initiatives
Support leadership with prioritization and workflow organization
Monitor ongoing tasks and provide regular updates to executives
Systems &
Process Support
Use productivity tools, administrative systems, and communication platforms effectively
Maintain accurate records, files, and confidential documentation
Assist in improving administrative processes and operational workflows
Follow established procedures and contribute to organizational efficiency
Requirements
About the Ideal Candidate
2–4 years of experience in executive support, administrative assistance, or a similar role
Strong organizational and multitasking abilities
Excellent written and verbal communication skills
High attention to detail and strong problem-solving skills
Ability to manage confidential information with professionalism and discretion
Proactive, dependable, and able to work independently
Comfortable working in a remote environment
Familiarity with productivity and scheduling tools such as Google Workspace, Microsoft Office, Slack, or similar platforms is a plus
Experience with CRM or administrative systems is a plus
High school diploma or equivalent required; additional education in business administration or a related field is a plus
