Key responsibilities
Reception & Office Coordination
You will be responsible for the day‑to‑day running of reception by:
Welcoming visitors and ensuring a professional, friendly front‑of‑house experienceManaging incoming calls, emails and deliveriesCoordinating meeting rooms, guest access and refreshmentsSupervising the reception and shared areasActing as the first point of contact for general office queriesLiaising with facilities, IT and building management when needed
Executive Assistant Support (3 Executives)
You will support three executives by:
Managing calendars, meetings and room bookingsCoordinating internal and external meetingsPreparing agendas, documents and basic presentationsHandling travel bookings and itinerariesManaging expenses, invoices and basic reportingFollowing up actions and deadlines to keep work movingActing as a trusted point of contact for stakeholders
Administration & Organization
You will also:
Maintain organized digital and paper filing systemsSupport onboarding logistics for new startersAssist with ad‑hoc projects and administrative tasksMaintain confidentiality at all times
It would be better if you are someone who:
Stays calm when reception is busyCan priorities across three executives without promptingSpots issues early and fixes them before they escalateCommunicates clearly and professionallyIs comfortable saying “I’ll come back to you” rather than guessing
Skills and experience
Essential
Experience in a receptionist, EA or office support roleAble to be in the office every dayStrong organization and time management skillsClear written and verbal communicationConfidence dealing with senior stakeholders and visitorsGood working knowledge of Outlook, Word, Excel and Teams ( and Concur)Desirable
Experience supporting multiple executivesExperience in a corporate or professional services environmentFluent in English and Arabic
Working style expectations
Hands‑on and proactiveReliable and discreetComfortable switching between tasksHappy to be office‑based as a visible presence
Basic Qualifications:
• Bachelor's degree in a relevant field or equivalent combination of education and experience
• Typically, 4+ years of relevant work experience
• Proven experience in administration
• Proficiencies in administration and analysis
• A continuous learner that stays abreast with industry knowledge and technology
