The International Assistant Project Manager will report to the International Client Director and join the International Project Management team.
YOUR MISSION
About the Role:
This role focuses on operational oversight and quality control throughout projects, ensuring that tasks flow efficiently and timelines are met to support seamless execution across all phases. By managing these internal processes, the Project Manager enables the Account Manager and Client Partner to concentrate on client relationships and strategic direction.
Key Responsibilities:
Project Workflow Management:
Oversee and maintain project workflows, tracking progress to ensure timely task completion.Set up project phases in the project management tool, ensuring all team members have clear visibility into timelines and responsibilities.Identify potential bottlenecks or delays and communicate them to the Account Manager to keep projects on track.
Resource Coordination and Scheduling:
Coordinate with creative, production, and other cross-functional teams to allocate resources based on project needs.Maintain the project schedule, managing internal deadlines and adjusting resources as necessary to accommodate project shifts.Assist with the setup and execution of project kickoffs and ensure all team members are briefed on project expectations and timelines.
Quality Assurance and Standards Compliance:
Conduct quality checks throughout the project lifecycle, ensuring deliverables align with defined standards and requirements.Work closely with creative and production teams to confirm that each stage meets quality expectations before advancing to the next phase.Address minor quality issues proactively, bringing significant concerns to the attention of the Account Manager.
Reporting and Documentation:
Generate and maintain project documentation, including progress updates, key milestones, and any changes to the project scope.Prepare internal reports that capture project timelines, deliverables, and resource utilization.Archive project records upon completion, ensuring all relevant information is accessible for future reference or post-project reviews.
Risk and Issue Management:
Proactively identify project risks, facilitating mitigation strategies to keep the project moving forward smoothly.Log issues that may impact timelines or resources and coordinate with the Account Manager for necessary adjustments.Support the Account Manager by managing project dependencies, ensuring all tasks align in sequence for seamless progression.
Qualifications:
Bachelor’s degree in Project Management, Business, or a related field.2-3 years of experience in project management, ideally within a fast-paced, agency environment.Strong organizational skills and attention to detail, with a proactive approach to problem-solving.Excellent communication and coordination abilities.Proficiency in project management tools (e.g.,Salesforce, Monday.com, Travelperk) and understanding of project management methodologies.
WORK EXPERIENCE & EDUCATION
You ideally have a first experience working with social media and/or influencersYou have interest in working in travel/hospitalityStudent in Marketing/Communications minimum Bachelor degree or Master's DegreeYou have already experience in project managementFluent in English additional languages are a plus, especially ArabicYou have ideally worked in an international environment and are sure a collaborative team memberProficiency in Google Suite is a plus
